Automate the store operations that eat your week

We build ecommerce workflow automation for Shopify and WooCommerce merchants: orders, inventory, customer follow-ups and reporting connected with n8n, Shopify Flow, Zapier or Make.

n8nShopify FlowZapier & MakeNotion & Gmail APIs
What's included
  • Workflow audit
  • Order-to-CRM sync
  • Inventory alerts and reorders
  • Abandoned-cart and review flows
  • Supplier and fulfillment emails
How it starts

A free 30-minute strategy call, then a fixed-fee proposal. No retainer required to get a quote.

The problem

The manual work hiding inside a growing store

Order volume grows faster than headcount, and the gap gets filled with copy-paste, spreadsheets and late-night inbox sessions.

Orders re-typed into a CRM or spreadsheet so the rest of the business can see them
Stock-outs discovered by a customer complaint rather than an alert
Abandoned carts followed up by hand, or not at all, because nobody has time
Review requests sent in batches when someone remembers, weeks after delivery
Supplier purchase orders drafted from memory instead of from live sales data
Weekly reports assembled from four exports on a Monday morning

Our approach

What we automate and how the pieces connect

Every automation starts with a map of how an order moves through your business today: which tools it touches, who copies data between them, and where it stalls. From that map we design flows that trigger on real events, such as a paid order, a stock level crossing a threshold, a cart left for an hour, or a delivery confirmation, and take the next action without a person in the loop. We build in n8n where you want ownership and flexibility, Shopify Flow where the logic lives inside Shopify, and Zapier or Make where your team already maintains them.

In one engagement, a DTC apparel brand had orders flowing from Shopify into Notion and out through Gmail by hand. We connected the three so each order created a tracked record, notified the right person, and sent the customer a status email automatically, recovering roughly fifteen hours of operations time each week. Your flows will differ, but the pattern holds: fewer hand-offs, fewer errors, and reporting that updates itself instead of waiting for Monday.

What's included

  • Workflow audit — A map of your order, inventory and customer processes with every manual hand-off marked and prioritized.
  • Order-to-CRM sync — New orders pushed to Notion, Google Sheets or your existing CRM with the fields your team actually uses.
  • Inventory alerts and reorders — Low-stock thresholds per SKU that message your team by email or Slack and draft supplier purchase orders.
  • Abandoned-cart and review flows — Timed follow-ups after cart abandonment and delivery, triggered by store events rather than a calendar.
  • Supplier and fulfillment emails — Purchase orders, dispatch confirmations and tracking updates generated and sent from live order data.
  • Reporting dashboards — Sales, margin and fulfillment metrics collected into Notion or Sheets automatically, refreshed on schedule.
  • Documentation and hand-over — A diagram of every flow, credentials stored in your accounts, and a Loom on how to change or pause each one.

Process

How we work

Process walkthrough

A free 30-minute call where you show us how an order is handled today, followed by a fixed-fee quote.

Map and prioritize

We document each process, estimate the hours it costs, and agree which flows to build first.

Build and test

Flows built in two-week sprints, tested against real orders in a sandbox, with Loom walkthroughs.

Switch on and monitor

Automations go live one at a time with error alerts, and we watch them through the first busy period.

Benefits

What changes once the flows are live

Hours back every week

Repetitive order, stock and follow-up tasks run without anyone touching them.

Fewer costly mistakes

Data moves between systems once, from the source, instead of being re-typed.

Faster customer follow-up

Cart reminders, shipping updates and review requests go out on time, every time.

Flows you own and can edit

Everything is built in your accounts with documentation, so you are never locked to us.

Fit

Who this is for

  • Shopify and WooCommerce merchants doing enough orders that manual admin hurts
  • Small teams where the founder still handles fulfillment emails personally
  • Brands using Notion, Sheets or a CRM that never quite syncs with the store
  • Operators who already tried Zapier and hit its limits on cost or complexity

Common use cases

Order-to-CRM pipeline

Each paid order creates a record, assigns an owner and posts a notification within seconds.

Inventory reorder alerts

SKU-level thresholds trigger a supplier email with quantities calculated from recent sales.

Post-purchase review requests

A review ask sent a set number of days after delivery confirmation, with skip rules for refunds.

Abandoned-cart recovery

A timed email sequence with the cart contents, stopped automatically when the customer buys.

Automated weekly reporting

Sales, refunds and fulfillment times pulled into one dashboard every Monday before you log in.

The human half

Need hands for the work that is not automated yet?

Catalog decisions, product copy and exceptions are handled by our ecommerce assistants while the syncs run on their own.

FAQ

Frequently asked questions

How much does ecommerce automation cost?
The cost depends on how many distinct flows you need, how many systems each one touches, and whether those systems have clean APIs or need workarounds. A single order-to-CRM sync is a small fixed-fee project; a full operations stack with inventory, supplier and reporting flows is larger and usually built in phases. Tool costs are separate and stay in your name: n8n can be self-hosted for very little, while Zapier and Make bill by task volume. We quote a fixed fee after a free call.
How long until the first automation is running?
The first flow, typically the one costing you the most hours, is usually live within the first two-week sprint after the workflow map is approved. Additional flows follow in later sprints. What slows things down is missing API access, an app that only exports CSV, or business rules nobody has written down yet, so the discovery stage exists to surface those before we start building.
What do you need from us to get started?
A walkthrough of how an order is handled today, ideally recorded so we can watch the actual clicks, a list of the apps involved, and a sense of monthly order volume. During the build we need API keys or app permissions created from your own accounts, plus a few real orders we can use as test cases. If you keep a spreadsheet by hand, send it: it usually reveals the report you actually want.
Who owns the automations and the accounts they run on?
You do, in every case. Workflows are built inside your n8n instance, Shopify account or Zapier workspace, using credentials you create and can revoke. We never route your data through infrastructure we control. At hand-over you receive a diagram of each flow and a recorded walkthrough of how to pause, edit or extend it, so a future developer or your own team can pick it up without us.
What happens if a flow breaks?
Every automation is built with error handling that alerts you and us when a step fails, rather than silently dropping an order. Most failures come from an upstream app changing its API or a credential expiring, which we fix quickly. A monthly retainer includes monitoring, fixes and small changes as your process evolves; without one, we handle issues on a project basis and respond as fast as our schedule allows.
Can you build this remotely, and how do we communicate?
Yes. Automation work is remote by nature, and we have delivered it this way for merchants in more than ten countries. We use a shared project board for status, Loom recordings for every deliverable and review, and calls scheduled to fit US, UK, European or Australian hours. The founder builds every flow personally, so there is no gap between the person you brief and the person who does the work.
