What's the difference between an AI assistant and a chatbot?
A chatbot faces outward: it talks to customers on a website and answers a bounded set of questions. An internal assistant faces inward: it works for staff, has access to internal documents and tools, and produces drafts, summaries and answers your team then acts on. Because it carries more permissions and context, we design scope per role rather than shipping one general tool. Many clients run both, sharing a knowledge base.
Will our internal documents be exposed to the AI provider?
Retrieved passages are sent to the provider's API only for the request that needs them, and OpenAI and Google both state that API data is not used for training. The document index lives in your own accounts or servers. Retrieval is scoped so a role only sees documents tagged for it, and anything sensitive can be excluded from indexing entirely. Region-specific hosting is possible if your policy requires it.
How accurate are the answers, and what if it's wrong?
Answers are generated from retrieved source pages and shown with links to them, so a team member can verify in one click. When the sources don't cover a question, the assistant says so rather than improvising. Everything is draft-first, so a person reviews before anything leaves the building. We log every answer, which lets us spot recurring gaps and fix them by updating documentation, usually the real cause of a wrong answer.
What does it cost to build and to run?
Build cost depends on how many roles you start with, how many systems need connecting, and how much cleanup your documentation needs before it can be indexed. Running cost is mostly API usage, billed per token by OpenAI or Google; drafting and summarizing use more tokens than short answers, and we set budget caps per assistant. Can it connect to the tools we already use?
That is the point of building it custom. We use official APIs for Gmail, Notion, Slack, Google Sheets and most CRMs and help desks, with n8n bridging anything that lacks a clean API. The assistant can read a ticket, look up the customer record, retrieve the policy and draft a response without your team switching tabs. If a tool has no API at all, we flag that during discovery.
Do we own it, and how is it maintained?
You own the code, prompts and knowledge index, hosted in your accounts, with documentation and Loom walkthroughs at handover. Maintenance has two parts: keeping knowledge fresh, which we automate with scheduled re-indexing of Notion or Docs, and keeping integrations working when APIs change. Some clients handle that internally; others take a monthly retainer where we also add roles and review usage logs for improvements.
