What's included
  • Product titles and descriptions
  • Variants and options
  • Image preparation
  • Tags, types and collections
  • CSV bulk import
How it starts

A free 30-minute strategy call, then a fixed-fee proposal. No retainer required to get a quote.

The problem

The catalog is where store quality quietly breaks

Product data gets entered in a rush, by different people, over months, and the damage shows up as lost sales and support tickets.

Supplier spreadsheets pasted straight in, with titles like 'SKU-4471 Blue M' facing customers
Variants created as separate products, so size and color cannot be picked on one page
Images in mixed sizes and backgrounds, making collection grids look uneven
Descriptions that repeat the title and say nothing about fit, material or use
A CSV import that overwrote inventory or created duplicates nobody noticed for weeks

Our approach

A listing process built for accuracy and repeatability

We start by agreeing a product data standard for your store: title format, description structure, which attributes become variants versus metafields, tag vocabulary, image dimensions and naming. It is written down so every product listed today or next year follows the same rules. We then prepare the data in a master sheet, validate it against Shopify's CSV format, and test-import a handful of products before touching the full catalog.

Images are processed in batch: backgrounds cleaned, files resized to consistent dimensions and compressed for fast loading, using our own free browser tools where they fit. Descriptions are written from your specifications and buyer questions, not copied from suppliers, with a review loop so your team approves the tone before we scale. For ongoing catalogs we run a weekly or monthly cycle, with Shopify Flow handling routine tagging and inventory alerts.

What's included

  • Product titles and descriptions — Consistent, buyer-focused titles and structured descriptions covering benefits, materials, sizing and care.
  • Variants and options — Size, color and material as options with correct SKUs, barcodes, prices, weights and inventory; extra attributes as metafields.
  • Image preparation — Backgrounds removed or cleaned, files resized to one aspect ratio, compressed, renamed and alt text added.
  • Tags, types and collections — A tag vocabulary and product types that drive automated collections, filters and search.
  • CSV bulk import — Master sheet built to Shopify's template, validated, test-imported, then loaded in batches with a rollback plan.
  • Ongoing catalog management — Scheduled additions, price and stock updates, seasonal collections and cleanup, on a monthly retainer.

Process

How we work

Quote and data review

Send a sample of your product data and images, and we reply with a fixed-fee or per-batch quote.

Data standard and sample batch

We agree title, description, variant and image rules, then list a small sample batch for your approval.

Bulk listing in batches

Products prepared in a master sheet and imported by CSV in checked batches, with a change log each round.

Handover or retainer

You keep the master sheet and the data standard document. Monthly management continues if you want it.

Benefits

Why outsource listing to us

One standard, every product

A written data standard means new listings match old ones, whoever adds them.

Safe bulk imports

Test batches, validation and backups before every full import, so stock and prices are never overwritten.

Images that load fast

Consistent dimensions and compressed files keep collection grids tidy and product pages quick on mobile.

Automation where it fits

Automated collections, Shopify Flow rules and n8n pipelines cut the manual work in every future update.

Fit

Who this is for

  • New stores with a supplier catalog that needs turning into customer-ready listings
  • Retailers adding products weekly who need a repeatable process, not a one-off cleanup
  • Large catalogs where variants, tags and images have drifted out of shape
  • Wholesalers or distributors moving a spreadsheet catalog onto Shopify

Common use cases

Initial catalog upload

Turning supplier data and raw photos into a complete, consistent Shopify catalog ahead of launch.

Catalog cleanup

Merging duplicates, fixing broken variants, retagging and reprocessing image backgrounds across an existing store.

Seasonal and drop listings

New collections listed on schedule, with tags and inventory in place before promotion starts.

Multi-channel product data

One master sheet feeding Shopify plus Amazon or marketplace listings, with descriptions adapted per channel.

Ongoing

Need products kept up to date every week?

A one-off listing project can become a weekly routine handled by an ecommerce-aware assistant, with imports and syncs automated once the structure is stable.

FAQ

Frequently asked questions

How is product listing work priced?
Listing is quoted per batch or per product, based on how much work each item needs. The variables are how clean your source data is, how many variants each product carries, whether descriptions need writing, and how much image processing is required. A catalog with raw supplier photos and no descriptions costs more per product than one with clean data. Send a sample and we quote from it.
Do you write the product descriptions or just upload what we send?
Both options exist. If you have approved copy, we format and upload it. If not, we write descriptions from your specifications, product photos and the questions customers ask, using a template you approve on the sample batch. Our free SEO description generator can produce first drafts at volume, but every description that goes live is reviewed and edited by a person before upload.
How do you avoid mistakes in a bulk CSV import?
Every import starts with a full export of the current catalog as a backup. The master sheet is validated for required columns, unique handles, option consistency and image URLs. We import a small batch first, check it in the admin, then continue in controlled batches. Inventory and price columns are included only when they are meant to change, since that is the most common cause of overwritten stock.
Can you handle products with many variants?
Yes, within Shopify's per-product limits on options and variants. When a product exceeds them, we structure it as linked products or use metafields with a custom selector section. Each variant gets its own SKU, barcode, price, weight and inventory, and variant images are assigned so the gallery switches when a color is selected. Option naming is standardized so filters and swatches behave consistently across the catalog.
What is included in ongoing catalog management?
A monthly retainer typically covers new product listings, price and inventory updates from supplier sheets, seasonal collection setup, removing discontinued items with redirects in place, and periodic audits for broken images, missing tags or inconsistent titles. Where a task repeats every week, we automate it with Shopify Flow or an n8n pipeline so the retainer pays for judgment rather than copy-paste.
How do you work with a client team in another time zone?
Product data work suits asynchronous delivery. You share source files through a shared drive or Notion, we process them during our working day in Pakistan, and updated batches with a change log are waiting when your team in the US, UK, Canada, Australia or Europe starts work. Product-specific questions go into a shared sheet, and a short call is booked whenever a new category needs a standard agreed.
